Scanning: Scanning Documents

PaperCut-enabled MFDs utilize a feature known as "Integrated Scanning" to allow scanning to UWRF email addresses and certain T:\ drive locations.

  • Scan to email is limited to a maximum 20MB document file size - an email system limitation.  If you regularly have a need to scan many pages or have very high quality scan jobs (resulting in files that are too large for email), contact DoTS for consultation on options that may be available.
  • If you would like an additional destination set up for scanning, please contact DoTS with the request.
  • NOTE: Scan only paper documents on the MFDs; other objects may damage the glass.

Integrated Scanning

  1. Tap your UWRF ID card at the card reader on the right side of the device or you may login using your username and password by tapping the boxes on the screen.

  1. On the device home screen, tap the Scan button to activate the scan function.

  1. The shared account list appears on the device. Tap an account to activate the device. NOTE:  There is no charge for scanning.

  1. Tap the desired destination on the list.  Note: The available destinations may be different depending on what you can access.

  1. On the "Scan Details" page, you may adjust the subject and name of the scan by tapping the respective boxes. If you need to adjust the filename or subject, tap the respective boxes to modify.

  1. If you need to adjust the scan settings, tap the Settings button and make adjustments as desired.

  1. Tap the green Start button on the screen to initiate the scan.
  2. When you have finished scanning, Log out ( icon) in the upper right corner of the screen to sign out of the device.

Additional Steps when Scanning on Glass

If you scan using the glass on the MFD, you will see a few additional prompts. These are listed below. These prompts will not appear for jobs using the Automatic Document Feeder (ADF) on top of the MFD, unless you check the new document checkbox on the scan settings screen.

  1. Optional: If you need to scan additional pages, load the next original and press the blue Start button.

  1. When finished, tap the Finish button and press the blue Start button to send the scan to your destination.

Advanced Scan Features

  1. Integrated Scanning works well for most scan jobs but if advanced features are needed, the Konica Minolta native scan interface is still available. At the home screen, tap Device Functions and select your account. NOTE:  There is no charge for scanning.
  2. Tap the Scan button on the device to open the scan interface.

  1. Select your scan options, load the desired document into the paper feeder on top of the MFD or place it on the scanner glass, and press the blue start button. The scan is emailed directly to your UWRF email account as a PDF file attachment.

Manually enter an email address

If you would like to send a scan to a different UWRF email address, you may manually enter the address using the direct input feature on the device. Please note, only UWRF email addresses may have scans emailed to them.

  1. Select Direct Input from the scan menu on the left.

  1. Select the Email button.
  2. Enter the desired email address using the keyboard that appears on the display.

  1. Press the blue Start button to send the scan directly to the entered email address.
