Shared Mailbox: Add to Outlook on Windows

Classic Outlook

In classic Outlook, there is no action needed to add a shared mailbox; it will automatically appear in the folder pane on the left-hand side of your Outlook client within a few hours of your profile being added to the application. Also, if you rebuild your Outlook profile, it may take a few hours for shared mailboxes to re-appear.

"New" Outlook

The "new" Outlook client's interface looks similar to the Outlook Online interface. To add a shared mailbox to the new Outlook client:

  1. Right-click on your mailbox in the folder pane on the left-hand side of the client. (This shows as your email address.)
  2. Select Add Shared Folder or Mailbox in the context menu that appears.
  3. Uploaded Image (Thumbnail)
  4. Enter the email address of the shared mailbox you are accessing. You may click on the mailbox when it shows in the search.
  5. Uploaded Image (Thumbnail)Once you have added the mailbox, scroll down your mailbox folders to the Shared with me section and expand it using the arrow to the left if necessary. You will find all your added shared mailboxes here.

 

The new Outlook client saves these shared mailbox preferences so you should only have to set this up once.

Send-As Shared Mailboxes in new Outlook

  1. Open a new message.
  2. Click the "Options" tab along the top of the compose window.
  3. Check the box to show the "From" field.
  4. A drop-down will appear next to the "Send" button which can be used to select which mailbox the message will be sent from.  You may need to add the mailbox to the list for the first time by clicking the "Other email address..." option at the bottom of the menu and search for the appropriate mailbox.
