Key Cabinet: Basics

Key cabinets are set up to use your ID card's proximity chip. A proximity cabinet will have a card reader on the side which accepts our campus card credential.

Checking out a Key

  1. Present your proximity card to the reader. You hear a beep when the reader recognizes the card.
  2. Enter your 4 digit PIN using the keypad near the top of the cabinet. You know this step successfully completed when you hear a click and see the light on the door latch turn green.

  1. Note: If an error message appears (e.g. Invalid card, Invalid PIN) or nothing changes on the screen, contact the DoTS Carding Office to investigate the issue.
  2. Open the door by lifting the latch and pulling open the door.
  3. Locate the key and turn counter-clockwise until the green light goes off. This happens when the key is rotated 90 degrees counter-clockwise.
  • Note: If you do not select a key and remove it within the granted time frame, the cabinet locks back up and no key will be accessible. You'll have to start this process again.
  1. Remove the key.
  2. Close the key cabinet door.

Returning a Key

  1. Similar to checking out a key, present your card to the proximity card reader located on the right side of the cabinet.
  2. Enter your 4 digit PIN using the keypad near the top of the cabinet. You will know this step successfully completed when you hear a click and see the light on the door latch turn green.
  3. Open the door by lifting the latch and pulling open the door.
  4. Put the key in the proper slot and rotate the key 90 degrees clockwise. When the green light goes off, you know that the key has been successfully returned.
  5. Close the key cabinet door.

Key Cabinet Alert Notifications

  • Key slots can be configured to send notifications when key slot timers expire. 
  • Notifications are sent to pre-configured email addresses (including the user with the key) alerting those entities that the key has been checked out longer than the allowed time.
  • The email includes this language:
    • Asset is in alarm Alert
    • Asset Timer
    • "An asset has been checked out for beyond the acceptable length of time."
