Voicemail

Cisco Unity Connections is a voicemail platform integrated with your Office 365 Outlook account. You can manage your voice mailbox from the web or from your phone. Your messages are consolidated into a single user interface on Outlook and you can also use the phone both from on campus and remotely.

First Time Setup of Unity Voicemail

Select the correct line you want to set up voicemail for. Your personal number is on the upper left of your display screen on your phone. That is your personal voicemail as an employee at UWRF. You may also have shared departmental lines that you can set up voicemail for listed below your line. Make sure you select the correct line in order to set up either your personal voicemail or your shared departmental voicemail box as appropriate for your situation.

From your Cisco IP phone, press the voicemail button. It is an icon located on your phone that looks like a tape cassette. On most phones, the voicemail button is located directly to the left of the [1] button your phone.

Your initial voicemail PIN was provided in your Cisco IP Phone welcome email. If you do not have your default PIN, or if the PIN is not working, you can follow the instructions below in changing your PIN using the web portal.

Follow the prompts provided by the system to complete the process.

Changing Your Voicemail PIN

Some people use a service called Extension Mobility, which is a different PIN than the voicemail PIN.

To change your initial or ongoing voicemail PIN, follow these instructions:

  1. From a university provided Wi-Fi or wired network connection, access the Cisco Unity Connection Person Communications Assistant web portal (select the green button above)
  2. Select Settings
  3. Select Passwords
  4. Select Change PIN
  5. Enter your desired PIN
  6. Re-enter your desired PIN
  7. Select Save.
    • The server responds with, "Your password was successfully changed"
If you've forgotten your voicemail PIN and are not connected to the campus networks or VPN, DoTS can reset it for you when the Carding Office is open.
Due to security reasons, the Cisco Unity Voicemail system is accessible only from a university wi-fi or wired network, or VPN, connections (including the main campus, farms, and the St. Croix Valley Business Incubator).

Listening to Voicemail Using Outlook

Most individuals have their voicemail integrated into their Office 365 Outlook account - the default setting. By default, when you delete a message from your email it will also delete from your phone and vice versa. If the message goes past the maximum age allowed, it will automatically purge from your voice mailbox.

Your voicemail message is presented to you as an email with a WAV attachment. You can preview or download that message and listen to it through your computer speakers.

If you do not wish to have your Unity Voicemail box integrated with your Outlook service, please contact DoTS to have this feature changed on your mailbox. Please include your extension number in your request.

Deleting Messages:  When you delete a message from the Outlook client, it moves to the trash in your voice mailbox and Outlook. If you are getting warnings about space in your voice mailbox being low, you need to empty the messages from your Outlook trash to completely remove them from your voice mailbox.

Listening to Voicemail Using the Cisco IP Phone

From your Cisco IP phone, press the voicemail button. It is an icon located on your phone that looks like a tape cassette. Follow the prompts to log in with your PIN and to listen to your new or old messages.

Listening to Voicemail Remotely

From any touch-tone capable phone, you can call 715-425-3600 to call into the Cisco Unity system. When the system answers, press [*] (the star key) to begin the login process. Enter only the last 4 digits of your phone number as your ID. You need to have your telephone PIN to log in. You can change your PIN on the Unity self-care portal.

You can also access and update your Voicemail through the Cisco Jabber application. Log in to your profile and select the Voicemail icon where appropriate on your designated device.

Using the Web Interface to Listen to Messages

You can log in using your Falcon Account username and password, or your LOCAL account assigned to your extension.

Directory Listing

The directory listing feature is only presented to a caller when the Campus Information Desk is closed or when a wrong number owned by the university is dialed. This does not affect the People Search web search or the directory option on the Cisco interactive phones. You can make it easier for callers using the automated directory to find you by putting in alternate names. We recommend all faculty and staff remain in this directory and to not exclude themselves from it. Please see the Update Directory Information webpage for more detail on how to officially change your information in the university directory.
